Refund Policy

Soderstrom Surgery LLC provides professional medical and surgical services. Because the nature of medical care differs fundamentally from retail transactions, our refund and cancellation policies reflect the realities of healthcare delivery. Please read this policy carefully before scheduling any procedure or consultation.

1. Nature of Medical Services

Fees charged by Soderstrom Surgery LLC are for professional medical services, including consultations, surgical procedures, and post-operative care. These fees reflect the time, expertise, surgical skill, and clinical resources required to deliver safe and effective surgical care. Medical services are inherently different from retail goods and are generally non-refundable once rendered.

2. No Guarantee of Outcomes

Medicine is not an exact science. While Dr. Soderstrom applies the highest standards of surgical care to every patient, medical and surgical outcomes cannot be guaranteed. The inability to achieve a particular result does not constitute grounds for a refund. You will be informed of realistic expectations for your specific procedure during your pre-operative consultation.

3. Consultation Fees

Consultation fees are charged for the physician's time and professional evaluation, regardless of whether you proceed with surgery. Consultation fees are generally non-refundable once the appointment has occurred. If you have insurance coverage for consultation visits, we will submit claims on your behalf; however, any patient-responsibility portion remains due and payable.

4. Appointment Cancellations

We understand that circumstances change. Our cancellation policy is as follows:

  • Consultation appointments must be cancelled at least 24 hours in advance to avoid a late cancellation fee
  • Surgical procedures must be cancelled at least 48 hours in advance; late cancellations of scheduled surgeries may result in a cancellation fee to cover facility and preparation costs
  • No-shows without advance notice may be charged the full consultation or pre-operative fee
  • Cancellations due to documented medical emergencies will be reviewed on a case-by-case basis

5. Billing and Insurance Responsibilities

Patients are responsible for understanding their insurance benefits prior to receiving services. Soderstrom Surgery LLC will make reasonable efforts to verify your insurance coverage; however, insurance verification is not a guarantee of payment.

  • Any amounts not covered by insurance (deductibles, co-pays, co-insurance, non-covered services) remain the patient's financial responsibility
  • Patients without insurance coverage are responsible for payment arrangements prior to elective surgical procedures
  • We accept most major insurance plans and can discuss payment plans for qualifying patients

6. Eligible Refund Exceptions

Refunds may be issued only in the following limited circumstances:

  • Billing errors: Charges applied in error that do not reflect services actually rendered
  • Duplicate charges: The same service billed and collected more than once
  • Overpayments: Patient payments that exceed the actual patient-responsibility balance after insurance processing
  • Prepaid surgery deposits for procedures that are subsequently cancelled by the practice

7. How to Submit a Refund Request

All refund requests must be submitted in writing and include:

  • Patient full name and date of birth
  • Date of service and procedure in question
  • Amount in dispute and reason for the refund request
  • Supporting documentation (receipts, Explanation of Benefits, etc.)

8. Refund Processing Timeline

Upon approval of a valid refund request, refunds will be processed within 7–14 business days. Refunds will be returned via the original payment method where possible. If the original payment method is no longer available, refunds will be issued by check to the address on file. We will notify you by email or phone when your refund has been processed.
